Hotel Reservations
For non-Feds, the Project Office will include you in the hotel room block (no need to book your own room). For federal participants, please place your own reservation with the hotel indicating that you are attending the US CLIVAR Summit, so that you receive the federal per diem rate of $268/night.

Getting There
Details on initiating your travel arrangements (e.g., flights, train, driving mileage), per-diem, and ground transportation have been sent to your email. For non-feds, after filling out the online form, a UCAR CPAESS travel coordinator will follow-up. US CLIVAR will provide reimbursement for ground transportation to and from airports/train stations (via UBER, Lyft, Taxi, or Shuttle) not to exceed a total of $200.
Federal participants are responsible for arranging their own travel.
Hotel parking - $35/day
Farragut North and West metro stations are within three blocks of the hotel.
Health Protocols
Your health and safety are of priority concern. In order to help ensure a safe environment for in-person participants, we will be undertaking the following measures:
- Setting up a COVID vaccination verification for in-person participants
- Ensuring that hotel staff entering the meeting space are fully vaccinated
- Providing masks and hand sanitizer to all in-person participants
- Requiring participants to wear masks while in meeting spaces (other than designated spaces during meals/breaks)
- Offering designated spaces for taking meals/breaks to accommodate different comfort levels of congregating and consuming while unmasked
All participants should monitor their own health status each morning before the meeting as well as during the meeting. Should you not feel well, please remain in/return to your hotel room (or if local, stay/return home) and join the meeting virtually when you are able. On-site testing and testing kits will not be provided. If you experience symptoms associated with COVID-19, consider taking a self-test (that you have brought) and/or visiting a nearby testing site. Anyone testing positive should refrain from re-entering the meeting space for the duration of the meeting and follow CDC guidance regarding care, isolating, and contact tracing.

Virtual Participation
We will be using Cisco Webex to host the Summit for virtual participants. You can access the meeting using the application or web version. We recommend downloading the application to access all its features and for the smoothest interface.
The meeting URL (for all 3 days and Panel breakouts) and instructions to join the plenary and Panel breakout sessions will be shared to all participants via email.
